Terms of service

The terms that apply when you use the SolaraoLabs website and client workspace, and when you engage us for a project.

Last updated: 2 November 2026

About us

SolaraoLabs is an independent technology company based in the United Kingdom. In these terms “we”, “us” and “our” mean SolaraoLabs, and “you” means the person or organisation using the website or engaging us.

Part A — Using this website

Information on the site

The website describes our services, our own software and game projects, and examples of our work. Products and games shown as in development are subject to change, and nothing on the site is an offer to supply a product or service until we confirm it in writing. Some images on the site are illustrative and are labelled as such.

Acceptable use

You must not misuse the website: for example, by trying to gain unauthorised access to accounts or systems, interfering with its security or operation, submitting automated or spam enquiries, or uploading anything unlawful, harmful or containing malicious code.

Intellectual property

The website, its design, text, graphics and our product and game content belong to us or our licensors. You may view and print pages for your own reference, but you may not copy or reuse them commercially without our permission.

Links and availability

We aim to keep the website available and accurate but do not guarantee that it will always be uninterrupted or error-free. We are not responsible for the content of websites we link to.

Part B — The client workspace

Workspace access is by invitation only. You must keep your sign-in details secure, must not share your account, and must tell us promptly if you think someone else has accessed it. Anyone you invite or who signs in with your organisation’s account acts on your organisation’s behalf. We may suspend access to protect the security of the workspace or other clients.

You are responsible for the files and information you upload. You confirm you have the right to share them with us for the project, and that sharing any personal information they contain is lawful. Our data processing summary explains how we handle that information.

Part C — Client projects

Quotations and agreement

Each project starts with a quotation that sets out the scope, deliverables, price and timing. A contract is formed when you accept a quotation (for example through the workspace) or sign a separate project agreement. If the quotation or project agreement says something different from these terms, the quotation or agreement wins for that project.

Changes, approvals and delivery

Changes to the agreed scope are agreed in writing and may change the price or timetable. Where a project has milestones, we ask you to review and approve them in the workspace; milestones are never marked as approved on your behalf. Timescales are estimates unless the quotation states a fixed date, and depend on you providing information, content and feedback when needed.

Payment

You agree to pay the amounts and follow the payment schedule set out in the accepted quotation or project agreement.

Ownership and licences

Ownership of, and licences to use, the work we create for you are as set out in the accepted quotation or project agreement. Each party keeps ownership of the materials, tools and know-how it had before the project. Third-party and open-source components remain subject to their own licences.

Confidentiality

Each of us will keep the other’s confidential information confidential and use it only for the project, unless disclosure is required by law.

Part D — Liability and general terms

Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot be limited or excluded by law. Subject to that, we are not liable for indirect or consequential losses, or for loss of profits, revenue, data or business opportunities arising from use of the website. Liability for client projects is as set out in the accepted quotation or project agreement.

If you are a consumer, you have legal rights under the Consumer Rights Act 2015 and, for contracts made at a distance, the Consumer Contracts Regulations 2013 (including, in many cases, a 14-day right to cancel). Nothing in these terms affects those rights.

We may update these terms from time to time; the version on this page applies to your use of the website from the date shown above. Changes do not affect a project contract that has already been formed unless both of us agree.

To contact us about these terms, email support@solaraolabs.co.uk. We may need to confirm your identity before acting on a request.
